Connecting a Company to AI APIs: How to Manage Invoicing, SLAs, and Data Security?

The Bottom Line

When a company integrates AI APIs, the biggest pitfalls usually aren’t model performance—they’re whether expenses can be reimbursed, whether there’s someone to contact when something goes wrong, and whether your data might be used for training. When evaluating providers, our team typically puts model pricing later in the process and looks at four things first: the contracting entity and invoicing, SLA and compensation, data-processing boundaries, and billing and access management. The fact that an API works for an individual developer doesn’t mean a company can deploy it with confidence.

1. Invoicing: Confirm “Who Issues It and What They Issue”

Before making a purchase, don’t just ask, “Do you support invoices?” Confirm the invoicing entity, invoice type, billing-name requirements, invoicing timeline, and whether both prepaid credits and usage-based charges can be invoiced. Ideally, have the provider include these details in the contract or order terms, so your finance team doesn’t discover at the last minute that only an overseas billing statement is available.

Without explicit terms, claims of “stable operations” are essentially just marketing language.

Confirm each point individually: whether requests and responses are written to persistent storage, how long logs are retained, whether data is used for model training, where the data is stored, whether employees can access it, and what deletion and auditing mechanisms are available. When handling customer privacy data, source code, or internal documents, it’s best to anonymize or redact the data first. Never put API keys in front-end code or code repositories.

4. Billing and Access Control Matter Just as Much

For usage-based billing, confirm whether failed requests incur charges and whether retries are billed again. My recommendation is to prepare a provider questionnaire, then run a small amount of real business traffic for two weeks to verify invoicing, incident response, data policies, and billing.
